Client Resources

There are several ways you can file a claim. During business hours (Monday-Thursday 8:30am-5pm, Friday 8:30am-4:30pm CST), we encourage you to report the claim to your assigned Account Manager or Account Executive. You can call us at 515.267.8555 or email us.

Another way to report a claim is through the TGA Client Portal

  1. Log on by going to our website www.theglienkeagency.com clicking on TGA Client Portal.
  2. Enter your username and password.
  3. Click on "Report a Claim" on the left side of the page.
  4. Select the type of claim and follow the instructions.

If on the weekend and it’s an emergency, you can always contact the carrier directly to report the claim. Go to the carrier website and follow the claims reporting instructions.

Most of today’s policies are billed directly by the insurance carrier. Your invoice should have a contact number. If you aren’t satisfied with the help they are providing, we encourage you to contact your assigned TGA Account Manager and we will be glad to call the carrier on your behalf and help you resolve your issue.

During business hours we encourage you to contact your assigned Account Manager and they will help you with getting all the required information needed to make the change.

Click "Manage Vehicles" on the left side of the Client Portal.  This will prove you with options.  Click on the appropriate action and follow the steps.

  1. Log in to the TGA Client Portal.
  2. Click on "Access Documents" on the far left of the website.
  3. Click on the "Policy Documents Folder" in the upper middle of the page.
  4. Click on the "Policies" folder. A list of all your policies will appear.
  5. Click on the policy you want to download.

It will appear in your web browser. You can view your policy in this format. If you want to download the policy to your hard drive, click on the download button located in the upper right-hand corner of the web page. Your folders will open, and you can save your policy to the folder of your choice. Repeat this procedure for each of the policies you want to download.

We are excited to inform you that we do have a mobile app. You can obtain it by logging into your TGA Client portal. You can take a picture of the bar code on the home page of your Client Portal and it will take you to your app store where you can download the app, giving you 24/7 access to your information on your mobile device.

Each state has its own workers compensation law. While most specifically exclude volunteers there are always exceptions. This is a very complex question and one that needs special attention and discussion with your TGA Account Manager or Account Executive. Contact us for more details.

Yes, you do. You will want to discuss your plans with your TGA Account Manager, and they will assist you with procuring the appropriate coverage to protect your business from injuries or property damage caused during your event.

The answer is yes you do. Even though your board members are volunteers, and your state may have some liability protections for volunteers, board member laws can be challenged, and lawsuits filed against your board members as a group or individually. We recommend you discuss your individual exposures and situation with your TGA Account Executive or Account Manager.

Risk Management/Claims

  1. First, move your vehicle from the roadway to a safe place if it is operable. Try to stay calm.
  2. Call the police if there is over $1,000 in property damage or any injuries to the other driver or passengers in any vehicle.
  3. Call an ambulance if there are injuries.
  4. Do not leave the scene until the police arrive to assess the accident.
  5. Share vehicle and insurance information with the other driver and police.
  6. Don’t discuss what happened with anyone except the police and do not admit fault for the accident.
  7. Use caution when discussing the accident, only speak to the facts.
  8. Report the claim to TGA right away.
  9. Ask for copies of TGA Auto Accident Report form to put in each vehicle for your employees to refer to and complete.

Insurance carriers encourage the reporting of all incidents, and most don’t penalize for submitting information, only claims. Just remember, if you contact your agent we are obligated to report the incident to the carrier, even if you don’t want to ultimately report it.

Agents are required to inform the carrier of all known instances. You can always call your TGA Account Executive or Account Manager and ask about a “hypothetical” incident to have them provide you advice. However, if we you ask about specific incidents they must be reported to the carrier.

Immediately contact your TGA Account Manager and report the situation. They will assist you with gathering the necessary information to provide the insurance carrier and advise you on next steps. Never engage with an attorney until you have spoken with the insurance carrier claims examiner, as attorney fees incurred prior to carrier approval may not be covered. Be patient. These situations usually take a long time to resolve themselves. Be sure to assist the carrier with getting all the necessary information for them to defend you and cooperate willingly with the claims department.

Your experience modification factor is your company’s personal loss experience benchmarked to an industry average. If your EM is above 1.0, your losses have exceeded the industry average, and you are paying more for your insurance. If your EM is below 1.0, your loss experience is below the industry average, and you are getting a discount to your insurance premium. TGA offers a thorough analysis of your workers’ compensation EM. Please contact your TGA Account Manager for a Mod Master report and discussion.

There are numerous reasons for premiums to increase. Some of these are out of your control, such as the increase in natural disasters, and the increased cost of litigation and lawsuits. Individually, your losses will have an impact on your insurance premiums. Properly training your staff to perform their job in a safe manner is crucial. Stressing safety and having a safety culture within your organization will help reduce claims. The Glienke Agency has a lot of tools to assist you with your training needs and can provide policies and procedures on the TGA Resource Center and the TGA Online Training Center.

TGA has multiple tools to assist your organization in improving its safety training policies. We offer The Glienke Agency Online Training Center that features over 400 safety and HR training courses.

We also have the TGA Resource Center powered by ZyWave. This is an online Risk Portal loaded with training and policies and procedures.

We also are Affiliate Members of the Non-profit Risk Management Center which allows all of our insureds to receive reduced cost tools from the NPRMC. It also allows you free access to their Risk Management Webinars and library.

Please contact your TGA Account Executive or Account Manager to explain all the tools we provide our human service clients.
